Contact and Accounts Data

The privacy, security, and integrity of our Customers' data are our highest priority. Therefore, Flourish, Inc will not sell, rent, or trade any contact or account data stored in your Pink Office account. Information stored by Customers in their Pink Office account is available only to members of the Customer's group that are authorized to access the information.

Registration

In order to use this Web site, a user must first complete the registration form. During registration a user is required to give their contact information (such as name and email address). This information is used to contact the user about the services on our site for which they have expressed interest.

Ideas Sent From Our Website

Anyone can send us an idea for Pink Office from the What's New page on www.pinkoffice.com, without an account. We keep what you write so our team can review it. Leaving your email address is optional. If you do, we use it only to reply about your idea: it is never added to a mailing list, never shared, and seen only by our team. To have an idea or your email address removed, contact Customer Support.

Visits to Our Website

Our website, www.pinkoffice.com, uses Metricool to count visits and see which of our social media posts and links bring people to it. When a page loads, Metricool receives the address of the page, the link you came from, and the size of your browser window, and it estimates your country from your internet address. It does not set cookies. This applies only to our website: Metricool is not part of the Pink Office app and never sees your account or your business records.

Order

On the sign-up form we request contact information from the user, such as name and email address. This information is used to activate the Customers' account and to get in touch if we have trouble processing an order.

Payment details are entered on a secure checkout page hosted by Stripe, our payment processor. Pink Office does not receive or store your card number or bank account number. Stripe holds those details and processes payments on our behalf. We receive only what we need to manage your subscription, such as the plan you chose, whether a payment succeeded, and the last four digits of the payment method.

Companies That Help Us Run Pink Office

We use a small number of trusted companies to operate the service. Each one handles only what it needs to do its job, and none of them are permitted to use your information for their own purposes.

• Stripe processes payments and holds your payment details. Your card or bank information is entered on Stripe's own checkout page and never passes through Pink Office.
• Appwrite Cloud hosts the application and stores your account data on servers in Toronto, Canada.
• Postmark delivers the email we send you, such as confirmations, receipts, and password resets.
• Anthropic provides the language model behind our help desk. When you ask a question in Help or send us a support request, the text of your question and our help articles are sent to Anthropic to draft an answer and sort the request. Your customer list, invoices, and other business records are not included.

Features That Use Artificial Intelligence

A few Pink Office features use outside artificial intelligence services to do a narrow job, such as sorting a support request. These features only send information when you use them. We are evaluating a matching service that would help spot likely duplicate customers and match imported contacts to people already in your list. If we add it, we will name the company here and describe exactly what is sent before the feature is turned on.

The companies that provide these services are named above. Under our agreements with them, they may not use your information to train their models, may not use it for any purpose other than answering our request, and process it on servers in the United States. Your customer list remains yours and stays stored with Pink Office in Canada. If you would rather not use these features, you can leave them off; the rest of Pink Office works the same either way.

Log Files

We use IP addresses to analyze trends, administer the site, and track user's movements within the site. IP addresses and other information collected in these log files is not personally identifiable; it shows us generically and in the aggregate how our site is being used. The following information is gathered in the log files: IP address, referring URL, time zone, browser type, operating system, files accessed, and errors generated. All this information is gathered and used only by Flourish, Inc, to help us analyze usage and trends to improve our application.

We encourage our users to be aware when they leave our site and to read the privacy statements of each and every Web site that collects personally identifiable information. Security

This Web site takes every precaution to protect our users' information. When users submit sensitive information via the Web site, the information is protected both online and offline.

Everything you send to and from Pink Office travels over an encrypted connection, so it cannot be read in transit. We do not ask for a social security number, and payment details are handled by Stripe rather than by us. To learn more about the encryption we use, visit this link.

Access to your information is limited to the people who need it to do a specific job, such as answering a support request. Payment details are not among them, because Stripe holds those and we never receive them. Furthermore, all employees are kept up-to-date on our security and privacy practices. The servers that are used to store personally identifiable information are kept in a secure environment.

Special Offers

We send all new users a welcome email to verify their User Login and User Password. Established users will occasionally receive information on products, services, and special deals. Out of respect for the privacy of our users, we present them with the option to unsubscribe from these types of communications.

Site and Service Updates

We also send each user both site and service announcement updates. Members are not able to unsubscribe from service announcements, which contain important information about the service. We communicate with each user to provide requested services and regarding issues relating to their account via email or phone.

Correcting / Updating Personal Information

If a user's personally identifiable information changes (such as a zip code), or if a user no longer desires our service, we will endeavor to provide a way to correct, update, or remove that user's personal data provided to us. This can usually be done in the user's profile or by contacting Customer Support.

Opt-in Email

Our users are given the opportunity to opt in to having their information used for purposes not directly related to our site at the point where we ask for the information. For example, our registration form has an opt-in mechanism so users who sign up to use our service and want to receive marketing material can add their email address to our lists.

Users who no longer wish to receive promotional materials from Pink Office may opt out of receiving these communications by clicking the "unsubscribe" link in the e-mail.

Notification of Changes

If we decide to change our privacy policy, we will post those changes on our home page so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will notify users by email. Users will have a choice as to whether we may use their information in this manner. We will use information in accordance with the privacy policy under which the information was collected.
